Privacy policy

Your data,
explained.

Effective October 22, 2026 · Douglas Insurance Group LLC

Ringy AI Summaries turns recordings from your Ringy account into short notes for your own work. This policy covers the Chrome extension and its hosted service.

Information we handle

We use your email address to create your account and send sign-in codes. We store your account identifiers, subscription status, usage totals, recording identifiers, and encrypted Ringy API key and summaries. Your Chrome profile stores a sign-in token, settings, recent summaries, lead details, and identifiers used to avoid processing the same recording twice.

The extension accesses Ringy call recordings, call metadata, lead names and phone numbers, and existing notes to create and save summaries. Recordings and notes may contain personal communications, insurance, financial, or health information supplied by speakers. Only process recordings you are authorized to use and share with the processors described here.

How information moves

The hosted service sends recordings to OpenAI for transcription and transcripts to Anthropic for summarization. Summaries return to your extension, which saves notes in your Ringy account. The extension uses your existing Ringy browser session locally; it does not read cookie values or send browser cookies to our hosted service.

Render hosts the service. Resend delivers sign-in emails. Stripe handles subscription checkout, billing records, and payment details; our service stores Stripe identifiers and subscription status, not your full card number. If you enable the optional Sheets copy, the extension sends summaries and lead details to the HTTPS webhook you select. Each provider also handles data under its own terms and privacy practices.

Optional owner-only controls can read labelled credit balances on OpenAI and Anthropic billing pages after permission is granted. Only the amounts and observation times are saved locally. These are last-seen balances, not continuous account monitoring.

Storage and retention

Ringy API keys and cached summaries are encrypted in the service database. Sign-in tokens and verification codes are stored as hashes on the server. The extension keeps its local data in your Chrome profile. Network requests use HTTPS.

Temporary audio files are removed when a processing attempt finishes or fails. Transcripts are processed in memory rather than saved in our database. Account data, usage records, and cached summaries remain while your account exists, including after a subscription ends, so you can return without losing your history. You can request deletion as described below. Our infrastructure providers may retain operational logs, backups, or request metadata under their own retention policies; AI providers may retain submitted data under their API policies.

Your controls and deletion

Turn off the weekday schedule or stop a run in the extension to stop new work; a recording already submitted may finish. Use Settings → Manage billing to cancel renewal. Uninstalling does not cancel a subscription or delete the hosted account.

For account access, correction, or deletion, email caden@douglasinsurancegrp.com from your account email. We verify the request, help stop future subscription renewals, and remove the account, credentials, sessions, cached summaries, and associated usage records from our active database. Billing records Stripe needs to retain are separate. Notes already saved in Ringy or your Sheets destination must be deleted there; uninstall the extension on each device to remove its local copy. Backups may retain prior data until their normal rotation.

Limited use

Ringy AI Summaries complies with the Chrome Web Store User Data Policy, including its Limited Use requirements. We use and transfer data only to provide or improve the features described here, protect the service, or comply with law. We do not sell user data, use it for advertising, or use it to determine creditworthiness. Human access to recordings or notes is restricted to your explicit consent, necessary security investigations, or legal requirements.
